Disinfection equipment hire: the paperwork nobody mentions until the audit
Machines are the easy part. The reason organisations move from ad-hoc hire to a structured lease is almost always an audit, an insurer or an incident that made them realise nobody could produce a record of what had been done.
In short
Whatever you hire, an auditor will ask for five things: the product and its safety data sheet, the dose and contact time used, the safe re-entry time and how it was derived, evidence of operator competence, and the schedule showing when each area was treated. If your supplier cannot provide those, the treatment is unevidenced.

What does a COSHH assessment need from your supplier?
The safety data sheet for the actual product, the concentration in use, the exposure controls (in this case an empty, closed room and a documented safe re-entry time) and the training record for anyone handling it.
A hydrogen peroxide based disinfectant that decomposes to water and oxygen makes this considerably easier to write than a persistent chemical with a residue and a disposal route.
How is operator competence evidenced?
Under our lease terms, only staff we have trained and deemed competent may operate the unit, and only operators we have trained may train others. That chain is what keeps the competence record defensible as staff turn over.
Additional on-site training visits are available from £450 + VAT each, which is how most sites keep new housekeeping or estates staff on the record.
What should the treatment record show?
Date, area, room volume, product, dose, cycle time, safe entry time, operator. Once fogging is on the cleaning schedule this becomes a routine tick sheet rather than an exercise.
It is also the record that turns a claim like 'we run preventative decontamination quarterly' into something a client, inspector or insurer will accept.
